The elected positions for the MSA@UAB Executive Board include President, Vice-President, Secretary, Treasurer, Social Coordinator, and Historian. The responsibilities for these positions are outlined in the official MSA@UAB Constitution (Article VI, Section 2: Positions and Responsibilities) as follows:
2.1. President:
- Responsible for all actions/conduct and all aspects of the MSA.
- Be the presiding officer of all the meetings.
- Overlook and coordinate the smooth functioning of the MSA.
- Set the agenda of all MSA meetings together with the Secretary in conjunction with other members of the Executive board.
- Advise and assist the Treasurer in preparing the fiscal budget.
- Delegate authority to the Vice-President equitably and for justifiable reasons.
- Make a genuine effort to attend all of the meetings and events. However, reasonable exceptions are to be allowed if and when necessary.
- If the President is not in attendance at a meeting or other MSA events the Vice-President shall represent the President.
2.2. Vice-President:
- Act as an advisor to the President.
- Accept responsibilities of the President only when delegated by the President.
- Serve as President in the event that the President is absent, resigns, impeached or dismissed.
- Carry out the responsibilities of a vacant Co-Chairperson position on the General Board or at his or her discretion appointing a qualified MSA member until such time that a new appointment is delegated by the President.
- Check the MSA mailbox and route other MSA correspondence regularly.
2.3. Secretary:
- Keep the minutes of each and every meeting.
- Supervise and coordinate all arrangements for MSA meetings and events.
- Update the current MSA membership directory.
- Maintain an accurate list of voting and non-voting members and handle incoming new members.
- Make sure that all MSA members are well informed of all MSA events and activities.
2.4. Treasurer:
- Manage and oversee all funds of the MSA in a fiscally sound manner.
- Maintain an accurate record of all funds of the MSA.
- Prepare and submit a budget application to the Budget Appropriations Committee each semester.
- Dispense funds as approved by the Executive board and under the guidelines from the Office of Student Affairs.
- Present a State of Finances to the Executive board upon request.
- Notify each member of their financial obligations, including dues and collect dues from Full and Associate members in a timely manner.
2.5. Social Coordinator:
- Plan, implement and execute social events in conjunction with the Executive board.
- Help publicize all on and off campus social events and activities of the MSA.
- If needed, register all social activities of the MSA with the official campus authorities.
- Locate and register MSA for suitable community volunteering projects and activities that can be considered charitable works.
2.6. Historian:
- Document all MSA activities throughout the academic year.
- Take pictures and/or video at all appropriate MSA events.
- Create and present MSA activities through media compilations, such as slideshows, scrapbook, and multimedia presentations.
